Connect & Integrate HRIS Applications

Introduction

Connecting an HRIS application to YeshID lets administrators import employee records, review them inside the application, and optionally use that HRIS feed to create and update people in YeshID.

Important: Import Employees and People Sources are two separate setup steps.

Import Employees populates the employee list for the application.

People Sources tells YeshID to use those HRIS records to create and update people in YeshID.

Before You Begin

  • Confirm your YeshID plan includes HRIS.

  • Make sure you have admin access in both YeshID and your HRIS.

  • Gather any credentials your HRIS connector requires, such as OAuth access, API keys, company domain, or company ID.

  • Decide whether newly created people should enter YeshID as Staged or Active.

Steps

1. Connect the HRIS application

  1. In YeshID, go to Access > Applications.

  2. Open the HRIS application you want to connect.

  3. Open the Integration tab.

  4. Complete the Authentication step and any required global parameters for your HRIS.

  5. Save the integration.

2. Configure Import Employees

  1. In the same Integration area, open Import Employees.

  2. Enable the action.

  3. Review the employee collection and field mappings.

  4. Make sure each employee has a stable external ID.

  5. We also recommend mapping first name, last name, email, start date, end date, manager, title, and any HRIS fields you want to use later.

  6. Save the action.

Tip: Some connectors provide default employee mappings. If mapping controls are exposed, review them before syncing.

3. Preview the import

  1. In Import Employees, use Test to preview the import.

  2. Review both the raw JSON response and the normalized employee preview.

  3. Resolve any warnings before continuing.

Note: Records missing a stable employee ID will be excluded from import.

4. Add the HRIS application as a People Source

  1. Go to Organization > People > Settings.

  2. Click Add people source.

  3. Select the HRIS application.

  4. Set the people source to Active.

  5. Choose the Default YeshID Person State:

    • Staged if you want new people reviewed before activation.

    • Active if you want new people created as active immediately.

  6. Optional: add a people creation filter to control which HRIS records create people in YeshID.

  7. Optional: enable Include default email format if some HRIS records do not include email addresses.

  8. Optional: map HRIS fields into YeshID custom fields.

  9. Save your changes.

5. Run a sync and review imported employees

  1. Return to the HRIS application in Access > Applications.

  2. Run a sync, or wait for the next scheduled sync.

  3. Open the Employees tab.

  4. Confirm the employee list is populated.

  5. Use Map Users to link imported employees to existing people.

  6. Use Create person or Create people for imported employees that should become new YeshID people.

6. Optional: configure HRIS-based automations

After your HRIS application is active as a People Source, you can configure lifecycle or access-related automations from Manage > Triggers.

FAQ

What is the difference between Import Employees and People Sources?

Import Employees brings employee records into the application's Employees tab. A People Source tells YeshID to use those records to create and update people.

Why do I not see Import Employees or the Employees tab?

Make sure the application supports HRIS and that your plan includes HRIS management.

Why is an employee missing from the Employees list?

The Employees tab only shows records returned by the HRIS during sync. If the HRIS connector filters out a person, the record will not appear in the list. Start by reviewing the Test preview for the connector and any active-only or employment-status filters in the HRIS setup.

Can I stop HRIS records from creating people automatically?

Yes. You can keep the People Source inactive, or use the people creation filter in Organization > People > Settings to limit which records create people.

Can I create new people as staged instead of active?

Yes. Set Default YeshID Person State to Staged.

Can I map HRIS fields to YeshID custom fields?

Yes. Use the mapping section in Organization > People > Settings to map supported HRIS fields into YeshID custom fields.
